Audio Visual
Exhibiting sponsors wishing to play music on their stands should obtain permission from the Organisers. Please note that no live music is allowed during show hours. Exhibiting Sponsors are solely responsible for obtaining any licence(s) required to play music on their stand.
Exhibiting sponsors using music systems must ensure that they are in possession of the correct licensing and that the volume must be kept to a limit of 70 decibels. A peak of 85 decibels for a maximum of two minutes is permitted for demonstrations twice per hour.
Noise levels will be measured throughout the show days. Please show consideration to other exhibitors at all times.
GES is the appointed AV contractor for Shoptalk Luxe, who have a wide range of audio visual products available for hire. Please refer to their order form or webshop for more details.
Flooring
For health and safety reasons, all space-only exhibiting sponsors are required to install raised flooring, at a height of 100mm, to cover electrical cabling within their stand space. The flooring must be clearly indicated in your stand design plans, which must be submitted to Abraxy for approval. Please note that if you have purchased a turnkey stand package through Shoptalk, the flooring will be arranged for you.
Catering
Emirates Palace has sole rights over the stand catering and hospitality catering activity. You can place catering & hospitality orders for your stand directly through the excel attached.

Children
All exhibitor personnel must be 18 years of age or older. It is not permitted for any under 18’s to be in the venue during build up or breakdown.
Cleaning and waste removal
All stands, gangways and common areas within the show floor will be cleaned overnight prior to the show opening day. If you have a turnkey stand you will have a daily cleaning service including in your package. If you have a space only and require daily cleaning, please organise this with the venue using the details below.
Cultural and religious awareness
Please be mindful that some attendees may choose not to consume alcohol and pork. We kindly ask all guests to remain respectful of others’ preferences and to observe local customs regarding alcohol service and consumption.
The venue has available prayer rooms for both men and women. Please note that the prayer rooms are located on the 1st floor - the female prayer room is next to the Lebanese Terrace restaurant, and the male prayer room is next to Broadway restaurant.
Disabled Facilities
Emirates Palace is fully accessible for people with disabilities. There are multiple elevators that enable access to the different levels, disabled restrooms, dedicated parking facilities and more.

Dress and apperance
Since the show is mainly outside and in public, please respect local customs and dress appropriately. We recommend dressing in conservative business attire and to have your shoulders and knees covered. Headscarves are only required in religious places.
Shoptalk Luxe involves lots of walking so make sure to wear comfy shoes!

All gangways must remain unobstructed and accessible at all times. Under no circumstances must any part of your stand, furniture, exhibits or displays, project beyond the boundary of your stand.
Greeting and introduction
In public or professional settings, when meeting with a woman it is courteous to wait for them to initiate a handshake rather than extending your hand first, as some women may prefer not to engage in physical contact for cultural or religious reasons.
If you are participating in our Meetup programme, please arrive on time and keep meetings within the 15-minute limit to ensure a smooth experience for everyone. Greet your meeting partners warmly and maintain a courteous, professional manner throughout the interaction. During Meetup, to respect privacy and ensure personal space is valued, only approach attendees you have confirmed meetings with, and access the Meetup area only during your scheduled times.
Insurance
It is a condition of your contractual agreement that you must have in place adequate insurance in relation to your participation in the Event. The minimum limits of insurance required are £2,000,000 for any one occurrence to cover liability and any other relevant costs and expenses arising from your participation in the Event.
You will receive a separate invoice for insurance from
[email protected]. Insurance cover is provided by Inevexco, our appointed Insurance contractor. Inevexco will send a welcome email with details of how to access their portal. If you already have adequate insurance in place or would prefer to arrange your own cover you will be able to evidence this through Inevexco’s portal and once approved Customer Accounts will arrange a credit note for your insurance.
Internet
General Wi-Fi
Complimentary Wi-Fi will be available for all attendees throughout the venue. Network details will be displayed on on-site signage and printed on the back of every attendee badge.
Exhibiting Sponsors
If you are an exhibiting sponsor planning to host demos or activities that require significant bandwidth, you are required to purchase dedicated internet for your stand space.

Security
Manned security will be present onsite throughout Shoptalk Luxe. If you require security dedicated to your stand, this can be arranged directly through Emirates Palace using the below instructions.

Important: Please do not leave your stand, or any valuables, unattended at any time during build-up, breakdown, or show open hours.
Smoking
Smoking (including e-cigarettes) is not permitted anywhere within the venue.
The abuse of alcohol, drugs and other substances can affect work performance and safety. Any person found to be under the influence of alcohol, drugs or other substances, which in the opinion of the organisers constitutes a danger to themselves or any other person using Emirates Palace, will be removed by security.

As the show floor is located outdoors, we encourage all attendees to take precautions to remain comfortable and safe in the heat:
Shoptalk will have shaded seating areas will be available across the show floor where refreshments will be provided. Lunch services will be available both outdoors and inside Emirates Palace.
