Health and Safety
Health and safety is everyone’s responsibility and is critical at all phases of the show cycle. Please ensure that all team members and contractors working on your project have fully understood our build regulations and the site induction.
All exhibiting sponsors must incorporate Health & Safety information within their Risk Assessments. You can access a Risk Assessment template here.
Build-Up Information,
Please be aware that when arriving onsite, the show floor will be in a state of construction, therefore please ensure yourself and co-workers are wearing appropriate safety wear. As a minimum requirement this should be a closed toe, sturdy shoes and a Hi Vis waistcoat.
In order to gain access to the show floor for build-up and breakdown periods, all sponsors and contractors will be required to register themselves with the Emirate palace booking system. please refer to this useful guide on how to register.
Once you have successfully registered, you will receive a confirmation email with your access badge which you will need to show for site entry at gate 2. Please make sure you have it ready on your mobile device to be shown at the entrance.
Please note, contractor badges only permit entry to the hall during build-up and breakdown periods, if you need access to the venue during show days you must purchase a delegate ticket.
Breakdown Information,
Breakdown & Dismantling Procedures
The show closes at XXX on Thursday 29 January. No exhibits, displays, or goods may be removed, packed away, or dismantled before this time.

Day 1 Evening of Breakdown: Only hand-carriable items may be removed.

Day 2: Full dismantling and stand breakdown may begin. Please follow the official build timetable.
Breakdown will only commence once it is confirmed safe to do so — after all visitors have left the hall and an announcement has been made. It is anticipated this will be around XXX. Any contractor or sponsor attempting to dismantle or remove items early, or working unsafely, will be stopped immediately.
Power Supply: Electrical power to stands will be switched off at XXX, 30 minutes after the show closes. If you need power beyond this, you must inform GES at the service desks no later than XXX.
Waste Policy: Any items not removed from the venue by the end of breakdown will be treated as waste, with disposal costs charged to the sponsor concerned.
Our Health & Safety partners, Abraxy, will issue further reminders during show open. The onsite team will also be available to support with any questions.

Health and Safety Declaration Form,
The Health & Safety Declaration Form is a mandatory requirement for all exhibiting sponsors. It serves several critical purposes:

Ensures that all sponsors acknowledge and comply with venue regulations and health & safety legislation.

Confirms that each sponsor has assessed the risks associated with their stand build, exhibits, and operations.
-
Clearly identifies who within each sponsor’s organisation is responsible for onsite health and safety.
These rules apply throughout the event. Please ensure all staff and third-party contractors are aware of them before coming onsite. Failure to comply may result in removal from site.

General Conduct

Always consider the safety of yourself and others.
-
Compliance with Show Site Rules and Health & Safety legislation is required at all times.
-
Only authorised personnel are permitted in the exhibition hall – valid attendee, contractor, or exhibitor badges must be worn at all times.

Smoking (including e-cigarettes) is prohibited anywhere inside the venue.
-
Anyone suspected of being under the influence of alcohol or drugs will be ejected.
Vehicle Movement
-
Large vehicles and heavy plant machinery will be in operation – always stay alert, especially in loading areas.
-
Use designated pedestrian walkways. Never walk behind reversing vehicles or under raised forklift loads.
-
Site vehicles must not exceed 10 kph.
-
Only trained, licensed drivers may operate site vehicles.
-
Competent banksmen must be used where required to guide vehicle movements.
-
Mobile phone use is forbidden while operating vehicles.
Personal Protective Equipment (PPE)
During build-up and breakdown, the following PPE is mandatory:

Safety shoes (sturdy, closed-toe)
-
Suitable head protection when working at height or near others working at height
Additional PPE may be required as identified in your risk assessment.
Equipment, Materials & Work Practices

Hazardous chemicals must be stored and handled in line within your risk assessment.

Hot work requires a Hot Work Permit.
-
All equipment must be PAT tested and properly maintained. Carry out checks before use.

Work at height must only be undertaken using safe methods, included in your company’s risk assessment.

Noise should be kept to a minimum; wear hearing protection where required.
-
Cutting and sanding tools must be fitted with extraction or dust bags to prevent dust build-up.
Incident Reporting & Safety Enforcement

All accidents, incidents, and near misses must be reported immediately to the Oragnisers and Health and Safety team.

Dangerous working will result in suspension; repeat offenders will be permanently removed from site.
Housekeeping
-
Maintain good housekeeping at all times.
-
Dispose of waste in the correct manner.
-
Keep emergency gangways clear and free from freight at all times.
-
Secure all work and equipment before leaving the site.

Emergency Response: Our in-house emergency team will respond promptly to support both guests and colleagues.
Security Oversight: A designated security personnel will be assigned to oversee and coordinate any emergencies throughout the setup, event, and breakdown phases.
Our security manager will be happy to give a brief introduction to the team pre-buildup to explain emergency exits and assembly points.
